General Terms & Conditions

All invoices are issued by Het Comité as the organizer of the 51st European Commodities Exchange Rotterdam 2011. Booking a stand or business table can only be done by means of registration on the website and is subject to acceptance of the Terms and Conditions. Each registration constitutes an order. All prices of automatically ordered products are listed on the event website including the status regarding VAT rates subject to the VAT rate in the Netherlands on the date of purchase.

Cancellation

Notification of all cancellations must be given in writing. Refunds will only be issued where cancellations are notified within the periods specified, depending on the product purchased. Refunds will be paid after the event, once the purchaser’s bank details have been obtained in order to complete the transfer. No refunds will be made due to non-appearance, late arrival or bringing forward of departure dates. All cancellations entitled to a refund will be subject to a deduction for administrative costs. A refund of the registration fees less an administrative fee of € 50,--  will be issued if a written cancellation is received prior to the  31st of May 2011. Thereafter no refunds can be made. All cancellation or changes have to be forwarded in writing to Het Comité. Requests to transfer registration to another person must be sent in writing to the organisation and approved by it.

Online registration and booking

You will have to register as participant/visitor through a special portal which requires identification of yourself and the company to which you belong. After this identification process you will receive a personal ID code. With the ID code you can add further bookings at later stage, but no modifications will be accepted automatically. Each booking will automatically be followed by an invoice, to be paid within 14 days of issuing date. Once you have confirmed your registrations and various purchases, this portal will not support cancellation options, only additional purchases can be edited/ordered through the web portal. Any cancellation is subject to Het Comité acceptance. The electronic booking of our special offers like lunch, social programme and gala dinner are subject to capacity.

Payments

All bookings will be invoiced and payment by bank transfer requested. Invoices will be sent by electronic mail for all bookings made using the portal. For other services you will receive tailor made invoices, based on the portal personal registration data. All orders regarding stands and stand services during the Exchange Day not paid within the 14 day period will incur a surcharge of 50 euro for each demand issued by the organisers and may be cancelled before the event is held.
If payments for the Social Program, Gala Dinner, Exhibition Lunch or Entry Tickets haven't been received before the 3rd of October 2011, you will have to pay in cash or by credit card during registration on the 6th or 7th of October 2011 in Rotterdam. You will be charged an additional administration fee of 25 euro. In the unfortunate event of double payment, the excess sum will be refunded after the events.

Het Comite takes no responsibility for personal injury, accident or harm of any kind or for any extra expenses resulting from changes of dates or venues for the event. In Ahoy Convention Center, Ahoy rules for visitors are applicable.
